Client Expectations
Welcome to The Virtual Warrior : where professionalism, flexibility, and high-level support meet. I’m honored to be a part of your team and want to ensure that our working relationship is grounded in mutual respect, transparency, and structure. The following expectations help keep things running smoothly and protect the integrity of both our time and energy.
1. Independent Contractor Relationship
As an independent contractor, I am not an employee. This means:
I manage my own schedule, tools, systems, and workflows.
I am not on-call and do not adhere to traditional 9–5 hours unless agreed upon in writing.
I work with multiple clients and prioritize tasks based on agreed deliverables and deadlines.
You are not responsible for payroll taxes, benefits, or setting my day-to-day schedule.
2. Flexible but Structured Availability
Communication Hours: Monday through Friday, 9:00 AM – 5:00 PM CST.
Response Time: Please allow 24–48 business hours for replies to emails, messages, and requests. Urgent tasks must be clearly marked and cannot always be accommodated last minute.
Meetings: Meetings must be scheduled in advance. Same-day meetings are not guaranteed unless previously agreed upon.
After-Hours Work: While I often complete tasks outside of these hours to maintain flexibility and productivity, please do not expect or assume immediate responses or task completion outside of agreed working hours. These instances are the exception, not the rule.
3. Respecting Hours & Priorities
Respect the hours previously agreed upon. If there is not enough work to meet the minimum contracted hours, the agreement may be paused or ended to prioritize clients who can meet the time commitment.
If you need to reduce hours or change the scope of work, let’s discuss and revisit your service package.
4. Communication Boundaries
Please do not contact me via text, phone, or social media outside of business hours, unless we’ve scheduled or approved it in advance.
Use designated platforms (email, Notion, ClickUp, etc.) for all task-related communication to ensure nothing is missed.
Rushed, unclear, or last-minute instructions may result in delays or errors.
5. Task Turnaround Times
Most tasks are completed within 2–7 business days, depending on scope and priority.
Larger projects or strategic initiatives may require longer timelines.
If turnaround needs are urgent, please communicate this ahead of time. Rush fees may apply depending on bandwidth.
6. Invoicing & Payment Policy
Invoices are due upon receipt, unless otherwise stated in writing.
Unpaid invoices may result in paused services and loss of access to shared platforms or deliverables.
Consistent late payment may lead to termination of the working relationship.
7. Scope of Work & Revisions
Your agreement includes only the services outlined in our signed contract. Additional work, responsibilities, or hours outside this scope will be discussed and billed separately.
Each deliverable includes up to two rounds of revisions. Final approval is expected within five business days unless otherwise arranged. Delayed approvals may delay project timelines.
8. Mental Health, Humanity & Personal Boundaries
I am a professional — but I am also human. I am a single mother to a vibrant toddler and wear many hats daily. I’m not a machine, and I don’t aim to be.
To serve you at the highest level:
Please respect evenings, weekends, and holidays as personal time unless we have made other arrangements.
I set boundaries to protect my energy, mental health, and ability to provide thoughtful, quality work.
Grace, communication, and respect go a long way in maintaining a healthy working relationship.
9. Communication & Feedback
Clear, respectful communication is critical to a successful relationship.
I ask that you provide timely feedback on deliverables and requests.
If I don’t hear back within 5 business days, I may proceed based on prior direction or pause the task until further clarification is received.
10. Emergencies & Time Off
I will always notify you in advance of any planned time off or limited availability and offer contingency plans where applicable.
During emergencies or time off, responses may be delayed. Please plan ahead where possible for time-sensitive needs.
11. Termination or Pause in Services
You may cancel or pause our agreement at any time with written notice, per our contract.
All pending invoices must be paid before any final deliverables, account transfers, or handoffs are completed.
